A realistic budget is half the battle. These line items belong in every event calculation, plus a buffer for the big day.

    An event budget rarely fails because of the big numbers, but because of the forgotten small items. Calculate in a structured way early and you avoid nasty surprises on event day.

    Separate fixed and variable costs

    Enter the fixed costs first, such as venue and tech, then the variable per-attendee costs like catering and badges. That way you instantly see how the budget changes with attendee numbers.

    • Shipping and setup of materials
    • Staff and helpers on event day
    • A buffer for last-minute changes

    Plan a buffer

    Deliberately plan a buffer. As a rule of thumb, a reserve amount that absorbs short-term extra costs without blowing the overall budget helps.
